Organising Breakfast(Iftar) during ramadan at orphanage

Madrasah students are organising iftar at orphanage.

what are the things they need to do? Chosing rpahanage etc..

One idea is to have shura.. Is it good to break up work? What are the diff depts to have etc?

Actually, I am working part time for a muslim organisation during my holidays. They are providing funds for madrasah students to organise. I am just trying to list out the things they need to keep in mind.

1) Ask them to form shura to tell the importance of it
2) Food(what type etc)
3) Get one of them to say the maghrib adhaan(many of them are reverts)

Is there anything that can be done ie say before maghrib?

Please give me ideas. May allah reward you all
